Shared Tables is operated by Andy Marsh, trading as Shared Tables.

For data-protection purposes, Andy Marsh is the controller of the personal information described in this notice.

Information we collect

We do not ask Shared Tables participants to register or provide personal information to attend a table. Participating venues may record approximate attendance numbers, but they should not record participants’ names or contact details for Shared Tables.

Please avoid including unnecessary medical or other sensitive personal information in website messages.

How we use your information
We use personal information to:
 

• Respond to questions, comments and requests.

• Discuss participation with potential venues.

• Set up and maintain relationships with participating venues.

• Keep venue listings and drop-in information accurate.

• Obtain feedback and improve the Shared Tables pilot.

• Operate, maintain and protect the website.

• Understand how people find and use the website.

• Comply with legal obligations and respond to legitimate legal requests.
   

We will not use contact form information to send marketing messages unless you have separately agreed to receive them.

Legitimate interests
We have a legitimate interest in responding to enquiries, developing and operating Shared Tables, maintaining relationships with venues, improving the pilot and keeping our website secure.

We only use information that is reasonably necessary for these purposes and consider the effect on your rights and privacy.

Steps towards or performance of an agreement
Where you ask us to discuss or arrange your venue’s participation, we may need to use your information to take the steps you have requested and manage that relationship.

Consent
We rely on your consent when using non-essential analytics or advertising cookies and similar technologies. You can withdraw that consent through the website’s cookie settings.

Legal obligations
We may use or retain information where this is necessary to meet a legal obligation.

Cookies and analytics
The website uses essential cookies that are necessary for it to function.

With your permission, it may also use analytics and similar technologies provided by Wix, Google, Meta or other providers. These can help us understand how visitors use the website and whether our outreach is effective.

Who we share information with

• With a public authority, regulator or law-enforcement body where legally required.

• To protect someone’s safety or establish, exercise or defend legal rights.
   

We do not sell personal information. We do not provide participating venues with lists of Shared Tables participants.

International processing
Some of our technology providers may process or store information outside the UK.

Where personal information is transferred internationally, we require the relevant provider to use an appropriate legal safeguard, such as processing in a country covered by UK adequacy regulations or approved contractual protections.

How long we keep information
We normally retain:

• General enquiries and related correspondence for up to 12 months after the enquiry has been resolved.

• Venue contact information and correspondence for the duration of the venue’s participation and for up to 12 months after it ends.

• Anonymous or aggregated attendance information for as long as it remains useful for evaluating Shared Tables.

• Analytics information according to the retention periods configured within the relevant analytics service and the information shown in the cookie settings.
   

We may retain particular information for longer if required by law or reasonably necessary to resolve a complaint or legal issue.

We securely delete or anonymise information when it is no longer needed.

Your rights
Depending on the circumstances, you may have the right to ask us to:

• Provide a copy of the personal information we hold about you.

• Correct inaccurate or incomplete information.

• Delete your personal information.

• Restrict how we use your information.

• Transfer information you provided to another organisation.

• Stop or object to particular uses of your information.
   

You have the right to object to our use of your personal information where we rely on legitimate interests.

Where we rely on consent, you can withdraw it at any time. Withdrawing consent does not affect uses of your information that took place before it was withdrawn.

These rights are not absolute and may not apply in every situation. We will normally respond to a request within one month.
